Administrative expertise applied consistently
The schema design and the coding methodology Vestmere uses were developed over years of working with family document collections in Pahang. The reference-code structure is simple enough for any adult family member to extend independently, yet systematic enough to scale to collections of fifteen hundred pages or more without ambiguity.
Consistency matters because estate papers move across generations. A schema designed in 2025 should still be legible in 2040. Vestmere's category structure is produced on paper, bound into the master index and issued on media the family holds — not dependent on any particular software version.
600dpi scanning with optical text recognition
The digital catalogue produced during the Full Cataloguing project is built from 600dpi scans with optical text recognition applied. The searchable index is keyed to the reference code of each physical item, so a search for a document by partial text, date or code returns the item location in both the digital and physical collection.
Delivery is on encrypted local media. The family holds a device that functions without an internet connection and without ongoing subscription to any service.
A service the whole family can understand
The schema sheet produced at the start of each engagement is written in plain language. Reference codes follow a logic explained on the sheet itself. The printed master index is bound and formatted to be read by someone who was not present at the original schema session.
Quarterly reviews in the Custodian Support Programme include the option for a different family member to attend. The annual walkthrough with a second family member is a fixed component of the programme, not an optional extra.
Fixed pricing, invoiced in advance
All three services are priced at a fixed rate in Malaysian Ringgit. The Category Schema and Intake Session is RM 510. Full Cataloguing and Secure Archive Build is RM 2,600 for a standard scope of up to 1,500 pages. The Custodian Support Programme is RM 4,700 for twelve months.
Where a collection exceeds the standard scope, an extended scope is costed and confirmed in writing before any additional work begins. There are no variable charges added after the fact.
Measurable deliverables at each stage
Each project stage produces a defined set of physical and digital deliverables. The schema session ends with a schema sheet, code labels and a starter folder set. The cataloguing project ends with archivally-rehoused papers, a bound printed master index, a searchable digital index on encrypted media and a retention schedule for duplicates.
The outcome of each stage can be assessed by the family against the scope statement issued at the start. If an item in the scope is missing from the deliverable set, it is completed before the engagement closes.

Schema designed with the family, not imposed
The category list is agreed during the intake session. The family chooses which categories fit their collection. Vestmere assigns the reference codes and writes the schema sheet, but the categories reflect the family's papers rather than a pre-set template.
Printed master index as a standalone document
The bound printed master index is designed to be read without any accompanying software or device. If the encrypted media is lost or damaged, the printed index still describes every item in the collection by code, category and location.
Destruction certificate issued and filed
When superseded duplicates are destroyed on the family's written instruction, a destruction certificate is issued naming each item and the date. The certificate is added to the master index so the absence of a document is explained, not unexplained.
Storage map covering all locations
Under the Custodian Support Programme, Vestmere maintains a storage map that records the location of every part of the collection — home filing, safe deposit, solicitor's storage — and updates it quarterly. The custodian holds one document that describes where everything is.
